Swim England Events and Conference Advertising Opportunities
1 January 2022Each year, Swim England runs a series of national competitive events and our annual Teaching and Education Conference and Awards.
For 2023, we are once again offering packages for our competitive events. These include event programmes, trade stands, video board ads and A-board poolside. Information about any Swim England conferences and awards events will follow shortly.

Artwork specification for competitive event programmes:

Type area: 186w x 271h
Half Page Horizontal (mm)
A4 – 186w x 132.5h
B5 160×230 – 129.4w x 90.2h
Artwork Format:
- Complete artwork should be submitted as a hi-res PDF with fonts embedded.
- Full page adverts must include a 3mm bleed.
- All colours should be split for CMYK. Please do not use spot colours in your artwork.
- Approved artwork must be submitted prior to the given deadline for each programme.

Please be aware that there is always limited availability and allocation will be on a first come first served basis. For award sponsorship, some consideration will be given to brand relevance.

Guidelines and deadlines
Due to exclusivity agreements we have in place with our partners and our own range of merchandise, some restrictions apply to the promotion of certain product types in programmes and at our events. Products on the excluded product list may be promoted by retailers, providing any product images are unbranded or the advertisement shows a composite image of multiple brands with equal presence and discreet logos. For example, an advertisement may show a retailer’s company name and logo and link through to an online shop. Promotion of partner-branded products is permitted.

These products include:Drinks bottles and travel mugs; shopper bags; phone cases; personal fans; pin badges; synchro journals; and pens.

The deadline for the Teaching and Education Conference will be issued shortly.
Deadlines for booking space or advertisements for competitive events are typically three weeks prior to the event date. Artwork deadlines are typically two weeks prior. Specific deadlines for each event are available on request.
How to book
- Choose your preferred package
- Complete our booking form with details of your preferred package*, including any chosen alternatives such as advertisement size. Please also include your invoicing details.
- We will check availability and confirm the booking details back to you and arrange payment.
- Once confirmed, send your artwork to us by the relevant deadline.
*If your chosen event is not yet shown on the booking form, or if you would like to discuss options before booking anything, please check the box to send an enquiry instead.
Payment
Payment can be made in one of two ways:
- New customers – payment is made online, with a debit or credit or debit card. We use PayPal invoicing which does not require a Paypal account. When your booking is confirmed, we will provide details how to pay. If you would like to apply for a customer account for future bookings, you can pay for your first booking and request a credit application form.
- Existing account customers – if you already have a credit account for advertising with Swim England Trading Limited*, we’ll be able to process your booking and send you an invoice. In this instance, payment terms are 30 days.
*Please note: This is separate to any account you may have with The Institute of Swimming. If you have an account with one of these companies, please let us know.

- Prices valid from 14 February 2020.
- Prices are shown excluding VAT.
- The minimum order value is £75 excluding VAT.
- Bookings should be confirmed and artwork provided typically three weeks before the event date. Specific deadlines for each event are available on request.
- For series bookings, artwork will repeat unless you notify us you wish to change it. Artwork may be changed for each event if required. Please provide new artwork by the deadline given for that event.
- Payment terms are with booking or, if you have an account, 30 days from date of invoice, unless otherwise agreed. Invoices are raised at time of booking.
- If your company operates a purchase order system that requires you to quote an order number, please ensure you provide this at time of booking. We will quote the PO number on our invoice as long as you let us know this is required.
- Should any of your accounts with Swim England or its subsidiaries be in arrears or have a history of late payment, we reserve the right to refuse a booking or request payment at time of booking.
- Requests to change or cancel bookings once confirmed may be subject to administration or cancellation fees.
- We reserve the right to refuse trade stand bookings which would include the promotion of products or services which conflict with the above guidelines or which are not appropriate or relevant for the chosen audience.
- We reserve the right to decline artwork for programmes or video advertisements which does not not meet the above specification and guidelines or which is not relevant or appropriate for the chosen audience.
- Bookings which are confirmed but for which no approved artwork is provided by the given deadline will still be charged.
- We reserve the right to refuse bookings for campaigns which would not appropriate for our family audience. For example, we cannot carry advertising for products or services relating to alcohol or gambling.
